We do not currently send marketing emails, operate a customer mailing list, create advertising audiences from customer information or use personal information for direct marketing. If this changes, we will implement the appropriate opt-in process and update this policy before using information in that way.
4. Our lawful bases
Data-protection law requires a lawful basis for each use of personal information. We normally rely on:
- Contract: where information is needed to take steps at your request, process an order, provide customisation, deliver goods or manage after-sales support.
- Legal obligation: where we must keep accounting or tax records or comply with another legal requirement.
- Legitimate interests: where necessary for running and improving our business, customer service, fraud prevention, website security, protecting people, stock and premises, investigating incidents or legal claims, provided those interests are not overridden by your rights and interests. This is the basis on which we normally operate CCTV.
- Consent: only where we specifically ask for it, such as if we introduce an optional service that relies on consent. You can withdraw consent at any time.
5. Who we share information with
We share personal information only where necessary for the purposes above. Recipients may include:
- payment providers, including Stripe, to take and manage payments;
- delivery and collection partners, including couriers and shipping-management services such as ShipStation, to fulfil orders and provide delivery updates;
- website, ecommerce, hosting and support providers, including WordPress and WooCommerce service providers, to operate and secure the site;
- Google services, where used for website analytics, reCAPTCHA security, Maps or review content;
- Trustindex, where its Google Reviews widget is displayed;
- professional advisers, insurers, banks, accountants and service providers where reasonably necessary for business administration or a claim; and
- police, courts, insurers, professional advisers, public authorities or other relevant parties where CCTV or other information is reasonably required to investigate an incident, comply with the law or protect legal rights.
CCTV footage is recorded to equipment kept on our premises. It is not routinely shared with a monitoring station or stored in the cloud. These providers and other recipients may act as processors under our instructions or as independent controllers for their own services. Their own privacy notices may also apply.
6. International transfers
Some providers we use may process personal information outside the UK. Where this happens, we will use an applicable lawful transfer mechanism, such as a UK adequacy regulation, the UK International Data Transfer Agreement, the UK Addendum to the EU standard contractual clauses, or another safeguard permitted by UK data-protection law.
You can contact us for further information about the relevant transfer safeguards.
7. How long we keep information
We retain information only for as long as reasonably necessary for the purpose for which it was collected, taking account of legal, accounting, tax and claim-limitation requirements. Typical periods are:
- orders, invoices and related accounting records: normally six years after the end of the relevant financial year;
- quotes and enquiries that do not lead to an order: normally up to two years;
- customer accounts and order history: while the account is active, then for a reasonable period unless a longer period is required for an order, tax record or claim;
- artwork, proofs and production records: while needed to fulfil an order and, where appropriate, to help with a repeat order or resolve a query;
- CCTV footage: normally 14 days, after which it is automatically overwritten. Relevant footage may be retained for longer where necessary to investigate a specific incident, respond to a lawful request or establish, exercise or defend a legal claim; and
- security logs and routine technical records: for a limited period appropriate to security and operational needs.
We may retain information for longer where necessary to establish, exercise or defend legal claims, or where the law requires it.

We use reasonable organisational and technical measures intended to protect personal information from accidental loss, unauthorised access, alteration or disclosure. Access is limited to people and providers who have a legitimate business need. No method of transmission or storage can be guaranteed completely secure, but we will act appropriately if we identify a personal-data breach.
10. Your data-protection rights
Depending on the circumstances, you may have rights to:
- ask for access to your personal information;
- ask us to correct inaccurate or incomplete information;
- ask for information to be erased;
- ask us to restrict how information is used;
- object to processing based on legitimate interests;
- receive information you provided in a portable format, where the right applies; and

To make a request or raise a concern, please email info@southportworkwear.com or telephone 01704 829966. We may ask for information to verify your identity and will respond in accordance with applicable law.
11. Information we receive from others
We may receive personal information from an employer, purchaser, colleague, delivery contact, public source or service provider where that is necessary to respond to an enquiry, prepare a quotation, fulfil an order, provide customisation or prevent fraud. We will use it for the purposes described in this policy.
12. Changes to this policy
We may update this policy when our services, website technologies or legal obligations change. The current version will always be published on this page with its revision date.
